Wax Cache is operated by Ark AI LLC. This Privacy Policy explains how Wax Cache ("Wax Cache", "we", "us") collects, uses, and shares information when you use our websites, web application, iOS application, Android application, and related support or partner pages (the "Service").
Information We Collect
Account Information
When you create a Wax Cache account, we collect:
- Email address
- Profile information you choose to provide (for example: display name, avatar, bio)
Collection Data
When you use Wax Cache to manage your collection, we store:
- Box names and locations
- Card details (player names, sets, years, card numbers)
- Estimated values (manual values you enter and/or estimates generated by the Service)
- Photos you upload or capture (for example: front/back card images)
- Cost, sale, listing, and other collection activity information you choose to record
- Card-recognition identifiers, cached stock images, pricing evidence, recent sales, and comparable-sale records used to provide eligible features
- Public profile, collection, box, card, image, and listing visibility preferences
- Activity, listing state, sold-card state, and analytics derived from actions you take in the Service
Usage Information
We and our service providers may automatically receive certain information when you use the Service, such as:
- Browser type and version
- Device information
- IP address
- Pages visited and features used
- Time and date of access
Pricing and Marketplace Interaction Data
When you use pricing features or marketplace links, we may process:
- Card metadata used to build pricing and listing queries
- Pricing outcomes generated by our service
- Outbound marketplace link metadata (for example, affiliate campaign parameters)
- Marketplace OAuth, seller setup, listing, offer, order, sale, and policy data when you connect a seller account
If you connect a marketplace account or publish listings through the Service, related listing and account workflow data may be exchanged with that marketplace. Marketplace seller settings such as shipping, return, payment, inventory location, and Seller Hub requirements are controlled by the marketplace provider, not Wax Cache.
Camera and Scanning
- QR scanning: Uses your device camera in your browser to read QR codes. QR detection generally happens on-device.
- Card scanning: When you choose to scan a card, the images you capture or upload and limited request information may be sent to third-party scanning, recognition, catalog, or artificial-intelligence providers to generate suggested card details and related content.
- OCR improvement: Scan fingerprints, corrected fields, and related OCR metadata may be stored to improve recognition quality and reduce repeat errors.
Third-party providers process submitted information under their own terms and privacy policies. Some providers may retain or use submitted scans and related information to operate, train, refine, or improve their services.
Payment and Subscription Data
We use payment and subscription providers to process billing, manage Free and paid access, and handle subscription status. We do not store full payment card numbers.
- Web and mobile purchases may be processed by third-party payment, subscription, and app-store providers.
- Billing records may include subscription identifiers, payment status, renewal/cancellation state, plan, and purchase channel.
- Plan and usage-limit records may include plan type, card quantity counts, box and location counts, usage counters, and feature access state used to enforce Free and paid limits.
Contact, Support, Partner Applications, and Email Updates
When you contact us or apply for the Partner Program, we collect the information you submit, such as name, email, business or brand details, social links, message content, proof of reach, payout contact information, and related correspondence.
When you subscribe to Collector Notes or another optional email update, we collect your email address, confirmation status, subscription preferences, and related delivery or engagement data. We use a confirmation email before adding you to the requested mailing list.
How We Use Your Information
We use your information to:
- Provide and maintain the Wax Cache service
- Enable you to organize and track your card collection
- Generate QR codes and public sharing links for your boxes
- Send service-related notifications and updates
- Send collection tips, product updates, guides, and other emails you explicitly request
- Improve our service and develop new features
- Provide customer support
- Detect and prevent fraud or abuse
- Improve OCR/scanning quality and card-field extraction accuracy
- Provide marketplace listings, recent sales, comparable-sale context, Wax Cache estimates, and price history
- Operate connected seller, listing, offer, order, and sale workflows you request
Data Storage and Security
We use reasonable administrative, technical, and physical safeguards designed to protect your information, including:
- Encryption in transit (HTTPS/TLS)
- Access controls intended to limit access to systems and data
- Monitoring and operational practices designed to detect abuse
No method of transmission or storage is completely secure. We cannot guarantee absolute security.
Service Providers and Data Sharing
We do not sell your personal information in the ordinary meaning of selling a customer list for money. We may disclose or process information with service providers and third parties needed to operate the Service, including:
- Infrastructure and operations: Third-party hosting, authentication, database, storage, security, performance, analytics, and support providers.
- Payments and subscriptions: Third-party payment processors, subscription managers, and app stores, depending on where you subscribe.
- Card and pricing features: Third-party scanning, recognition, artificial-intelligence, catalog, stock-image, marketplace, recent-sale, and market-data providers used to suggest card details, assist imports, provide listing content, show comparable sales, and generate Wax Cache estimates.
- Marketplace and seller tools: Third-party marketplaces when you open marketplace links, connect a seller account, create or manage listings, sync account or listing state, or use seller tools.
- Email and communications: Third-party email-delivery and support providers used for contact forms, partner applications, confirmation emails, service messages, and optional product or educational emails.
- Public sharing: Information you choose to make public may be viewed by anyone and processed as part of Wax Cache discovery, search, QR, and sharing features.
- Legal and safety: To comply with law, respond to lawful requests, or protect the rights, safety, and security of Wax Cache and our users.
- Business transfers: In connection with a merger, acquisition, or asset sale.
Some marketplace links may include affiliate parameters, and Wax Cache may earn a commission from qualifying activity. Privacy laws can define "sale" or "sharing" differently by jurisdiction; contact us if you need to exercise privacy choices available under applicable law.
Your Rights and Control
You can control many parts of your information directly in the Service, including:
- Access: View all your data at any time through your account
- Export: Download available collection data as CSV from Profile > Data when your plan includes exports
- Delete: Delete your account in Profile > Data or request additional deletion help
- Modify: Update or correct your information at any time
- Public sharing: Control profile, collection, box, card, image, and listing visibility
- Email preferences: Unsubscribe from optional emails using the link included in those messages
Depending on where you live and applicable law, you may also have rights to know, access, correct, delete, or receive a copy of your information; opt out of certain sale, sharing, or targeted advertising; limit certain uses of sensitive information; appeal a decision; and receive equal service when exercising your rights. Retention
We keep information for as long as reasonably needed to provide the Service, maintain your account, support security and fraud prevention, comply with legal or tax obligations, resolve disputes, enforce agreements, and maintain business records. If you delete your account, we delete or de-identify account and collection data tied to your user where reasonably possible, subject to limited retention for legal, tax, billing, fraud-prevention, security, backup, and operational reasons.
We retain optional email subscription records until you unsubscribe or ask us to delete them, subject to limited suppression records needed to honor your choice not to receive future emails.
Third-party card identifiers, stock imagery, and market records may be cached only as needed to operate the Service and are refreshed or removed according to our provider arrangements and operational needs. Information already processed by a third-party scanning, artificial-intelligence, marketplace, payment, or other service provider is also subject to that provider's retention and deletion practices.
Public Sharing and Discovery
When you make a profile, collection, box, or card public:
- Profile details and eligible collection content may be visible to anyone and appear in Wax Cache discovery or search
- Public content may include card identity, permitted images, public activity, active listings, and displayed Wax Cache estimates
- Public and unlisted QR or card links can be opened by anyone who receives the link
- Viewers cannot edit your collection, and private notes, costs, private sale details, and connected-account credentials are not intended for public display
- You can change visibility or revoke public access, but we cannot control screenshots, copies, caches, search indexing, or resharing that occurred while content was public
Cookies and Tracking
We use cookies and similar technologies to:
- Keep you logged in
- Remember your preferences
- Measure performance and usage to improve the Service
You can control cookies through your browser settings, but some features may not work properly without them.
Children's Privacy
Wax Cache is not intended for users under 13 years of age. We do not knowingly collect information from children under 13. If we become aware that a child under 13 has provided us with personal information, we will take reasonable steps to delete it.
Changes to This Policy
We may update this Privacy Policy from time to time. When appropriate, we may notify you of material changes by:
